What we collect when you enquire or book, why we collect it, and what we do with it.

Who is responsible

Dream Wild is operated by Leisure Options (Pty) Ltd (“we”, “us”). We are the responsible party for personal information collected through this website, as defined in the Protection of Personal Information Act, 2013 (POPIA).

What we collect

  • Enquiry details you give us — your name, email address, contact number, the escape you’re interested in, your dates, guest numbers and any message you write. That message is free text, so if you tell us about a dietary requirement, a medical condition or an accessibility need, we hold that too, for no longer than the enquiry itself.
  • Payment records, once money has changed hands — we do not process payments ourselves, so once a deposit or balance reaches the property or our bank account, our reservations desk records the amount, date, method and whatever reference the payment provider or your bank statement gave it. We never receive or store your card number.
  • File names, if a file is attached to the conversation — if you or our reservations desk attach a file to an email (for example proof of payment, or a fact sheet), we keep the file name so the conversation makes sense later. The file itself is never saved to our systems.
  • Analytics data — pages viewed and actions taken on the site (for example opening a booking drawer), collected via Google Analytics. This is used in aggregate to understand which escapes people are looking for.
  • Technical data — your browser type, device and approximate location derived from your IP address, as part of normal web-server and analytics operation.
  • Your email address, if you join our mailing list — kept separately from any enquiry, together with when and how you signed up, so we have a record of your consent.

We do not collect or store card or payment details on this website. Payments happen in Leisure Options (Pty) Ltd’s reservations system or directly with the property.

Why we use it

  • To answer your enquiry and quote availability and rates.
  • To make and manage a booking you have asked for.
  • To improve the website — which escapes are in demand, what people search for, where the experience breaks.
  • To send you marketing email about escapes and offers, but only if you have separately signed up to our mailing list. Every marketing email includes a one-click way to stop.

We do not sell your personal information. We do not send marketing email to enquirers unless you have separately asked to hear from us.

Who we share it with

  • Our reservations desk, who see your enquiry, quote and conversation in order to answer it and manage your booking. They do not see the site’s other admin functions, and they do not see our mailing list.
  • The property itself, once we place your enquiry or booking with them — your name, contact details, dates, guest numbers and anything you have told us that they need to prepare for your stay, including a dietary requirement or accessibility need.
  • Service providers who run the site — our hosting provider, our database provider (Supabase), our email provider and Google Analytics. They process data on our instructions.
  • Anyone we are legally required to disclose to.

Some properties are outside South Africa, in Mozambique and Botswana. Sending your details to one of them is a transfer of personal information across our borders, made only to the extent needed to fulfil your enquiry or booking, as POPIA allows. The same applies to any of the service providers above that store data outside South Africa: it is on the basis that the provider offers a comparable level of protection, as POPIA requires.

How long we keep it

  • Enquiries — 24 months from your last contact with us, so we can handle follow-ups and any dispute, then deleted.
  • Payment records — kept for as long as South African tax and financial record-keeping law requires, currently five years, then deleted.
  • Mailing list — until you unsubscribe. If you unsubscribe we keep only your email address, flagged as unsubscribed, so that a later import can’t accidentally add you back.
  • Our own usage counts — 24 months. They contain no identifier, so they are not about you personally.
  • Google Analytics — governed by Google’s retention setting on our property, currently 14 months, and only if you accepted cookies.

Your rights

Under POPIA you may ask us to:

  • confirm whether we hold personal information about you, and give you a copy;
  • correct or complete anything that is wrong or misleading;
  • delete information we no longer have a lawful reason to keep;
  • stop using it for direct marketing — always, and at no cost; and
  • object to processing on reasonable grounds.

Email info@dreamwild.co.za with “POPIA request” in the subject line and tell us which of the above you want. We will respond within 30 days. We may need to confirm who you are first, so that we don’t disclose your information to someone else.

You can also use the Information Regulator’s prescribed Form 2, and you have the right to complain to the Regulator directly at complaints.IR@justice.gov.za.

Information Officer

POPIA requires every organisation to appoint an Information Officer, who is accountable for how personal information is handled. Ours is Nick Dickson, reachable at info@dreamwild.co.za.

Outstanding before launch: the Information Officer’s registration with the Information Regulator, and the registered company address, still need to be added here.

Cookies and analytics

Browsing this site stores nothing that identifies you. Google Analytics sets cookies, so it is loaded only if you accept — decline, or ignore the banner, and the script is never requested. Our own usage counts are anonymous and run either way.

Read the full cookie policy, which lists every item we store and lets you change your choice. See also our terms of use.

Changes

If we change this policy we’ll update this page and the date below.
